Preparing for your event

Overview

Your booking is confirmed and your event has moved into the "To Visit" section. What happens now? This article covers everything you need to do between confirmation and arrival — how to prepare, what to check, and how to ensure your experience goes smoothly from the moment you leave home to the moment you step inside the venue.

What the "To Visit" Section Means

When an event appears in your "To Visit" section, it means you have successfully completed every required pre-attendance step:

  • You received and accepted the invitation
  • You confirmed your attendance within the confirmation window
  • Your spot is officially secured

The "To Visit" section is not just a list — it is your operational dashboard for upcoming events. It contains everything you need to enter the venue and participate correctly.

If an event is not in your "To Visit" section, you should not assume you can attend. Either your booking is incomplete, or something went wrong in the process. Always verify that your event is visible in this section before leaving for the venue.

Preparing Before You Leave

Preparation is not something to do in the car on the way to the venue. Good preparation starts well before the event and ensures that when you arrive, you are focused, professional, and ready to participate fully.

Here is a checklist to go through before leaving for any event:

✅ Verify the Event Is in "To Visit"

Open the app and confirm that your event is showing correctly in the "To Visit" section. If it is not there, do not proceed to the venue — investigate the issue with support first.

✅ Check That Your QR Code Loads

Your QR code is how the venue will verify your identity and check you in. Open the app, find your event, and confirm that the QR code displays without errors. If there are any loading issues, troubleshoot them at home where you have time, not at the venue entrance.

✅ Ensure Your Phone Is Charged

This might seem obvious, but it is one of the most common causes of problems at check-in. You need your phone to display your QR code. Arrive with a fully charged phone, or bring a portable charger if the event is long.

✅ Review Event Timing

Check the exact event start time and calculate when you need to leave to arrive appropriately. Arriving too early can be inconvenient for the venue. Arriving late can limit your experience and affect your ability to complete deliverables properly.

✅ Re-Read the Event Rules and Dress Code

Even if you read the rules when you accepted, review them again before leaving. This is especially important for dress codes, which can sometimes be stricter than expected. Venues enforce their dress codes, and arriving incorrectly dressed may prevent you from entering.

✅ Review the Deliverables

Know exactly what you need to produce after attending. If content creation is part of your deliverables, think in advance about what shots, stories, or posts you want to capture during the event. Arriving with a plan makes content creation easier and more natural.

✅ Confirm Guest Details (If Applicable)

If you are bringing a guest, make sure they are aware of all rules, timing, and expectations. If the event has deliverables for the guest, ensure they understand what is required and are prepared to create the necessary content.

How to Handle Arrival at the Venue

When you arrive at the venue, keep the following in mind:

Arrive within the suggested window. Events are not always flexible about timing. Arriving within the recommended arrival period ensures you can check in smoothly and have time to settle before the experience begins.

Present yourself professionally. The Secret Society is associated with quality venues and experiences. How you carry yourself at the door reflects on your profile and your standing as a participant.

Be ready with your QR code. Before you reach the door, have your app open and your QR code ready to display. Fumbling with your phone at the entrance creates delays and a poor first impression.

Identify yourself correctly. When speaking to venue staff, clearly state that you are attending as part of The Secret Society so they can locate your booking correctly. This ensures a smooth check-in process.

What to Do If the Event Is Full

Events operate on a fixed capacity set by the venue. If an event is listed as full, all available spots have been taken by confirmed attendees, and the venue cannot accommodate additional guests.

In this situation:

  • There is no waiting list in the traditional sense
  • You can monitor the event for cancellations, as a cancelled spot may become available
  • However, freed spots may be taken very quickly by other interested users
  • There are no manual overrides or exceptions that can guarantee access

The best strategy if an event is full is to move on and focus on other available events, rather than depending on a cancellation opening up.

What to Do If You Experience Issues at the Venue

Occasionally, things do not go according to plan. There may be confusion about your booking, a miscommunication at the door, or an unexpected issue with the event itself.

If this happens:

  1. Stay calm and professional. Reacting emotionally or aggressively at the venue creates a poor impression and is unlikely to resolve the issue.
  2. Present your QR code and booking information clearly. Give the venue staff the information they need to verify your attendance.
  3. Do not escalate the situation at the venue. If something cannot be resolved on the spot, the correct channel is to report the issue to The Secret Society support team after the event.

The platform acts as the bridge between you and venues. All concerns and disputes should be routed through the support team so they can be reviewed and addressed properly.

What Happens If You Arrive Late

Arriving late does not automatically disqualify you from the event or result in a strike, but it does carry real consequences.

Late arrival may:

  • Reduce the amount of time you have to enjoy the full experience
  • Limit your ability to capture the content you need for deliverables
  • Affect the quality of your deliverable submissions
  • Create a negative impression with the venue

If your late arrival is severe enough that you cannot complete your deliverables properly, this can create downstream problems for your account. While the lateness itself is not penalized, the failure to complete deliverables is.

Plan your travel time conservatively. Arriving a few minutes early is always better than arriving a few minutes late.

Attending Events With a Guest

If you have been approved to bring a guest, remember that you are responsible for your guest at all times. This includes:

  • Ensuring they understand the event rules and dress code
  • Making sure they behave appropriately at the venue
  • Coordinating on any deliverables they are required to produce
  • Submitting their deliverables on your account if required

A guest's behavior or failure to complete their deliverables reflects directly on your account. Brief your guest thoroughly before attending.

Summary

Once your event appears in the "To Visit" section, your spot is confirmed and your focus should shift to preparation. Before leaving, verify the event is visible in the app, ensure your QR code loads, charge your phone, review the rules and deliverables, and confirm any guest arrangements. At the venue, arrive within the suggested window, present yourself professionally, and have your QR code ready. If issues arise, handle them calmly and report them through support afterward. Arriving prepared is not just courteous — it directly affects your ability to complete deliverables and maintain a strong standing on the platform.
